Duo Enrollment Process

This document details the steps on how to get enrolled in Duo.

Identity Proofing

Identity proofing for Duo can be done in person or through Microsoft Teams, Zoom, Facetime, Skype, or any other video chatting service. You must have two forms of identification with you. One can be a Drivers License/State Issued ID or a passport. The other form of ID must be a Campus ID or an University Appointment or Offer Letter. 


Faculty/Staff

Smartphone App

1. Install the Duo Mobile app on your smartphone.

2. Once the app is installed, tell the GBIT Service Desk worker the phone number for your smartphone. Then a full time staff member will send a text to your smartphone.

3. The text will include an activation link. Select that link and select "Open with Duo Mobile."

4. The Duo Mobile app will open and display a 6-digit code. That is how you know that your device is registered to your account.

5. Once you log into a program that requires Duo Authentication, you can either select "Send me a Push" or "Enter a Passcode."

6. If you select "Send me a Push," it will send a login request notification to your phone that you need to select and then select the green "Approve" button.

7. If you select "Enter a Passcode", you need to open the Duo Mobile App on your smartphone, select the down arrow on the right hand side next to University of Wisconsin-Green Bay and then enter the six-digit code into your computer. Then you will be able to access the program.

Hardware Token

1. If you do not have a smartphone and you need to get a hardware token, one of the GBIT Service Desk workers will ask a full time staff member to register a hardware token to your account.

2. Hardware tokens can be picked up at the GBIT Service Desk. Once you log into a program that requires Duo Authentication, select "Enter a Passcode" and then press the red reset "on" button on the hardware token.

3. A six-digit code will display on the hardware token and then enter the six-digit code into your computer. Then you will be able to access the program.


Retiree/Emeritus

Hardware Token

For retiree/emeritus employee, the hardware token will be a $10 charge. If you do not have a smartphone and you need to get a hardware token, one of the help desk workers will ask a full time staff member to register a hardware token to your account. Hardware tokens can be picked up at the GBIT Service Desk. Once you log into a program that requires Duo Authentication, select "Enter a Passcode" and then press the red reset "on" button on the hardware token. A six-digit code will display on the hardware token and then enter the six-digit code into your computer. Then you will be able to access the program.

Smartphone App

1. Install the Duo Mobile app on your smartphone.

Student Workers/Student Orgs

The supervisor of the Student Worker account/Student Organization needs to come down to the help desk to request DUO access for these account(s). Once that is completed, the Service Desk worker and full time staff will issue a hardware token to the supervisor. The supervisor will be informed of which accounts are linked to the hardware token.
