Microsoft Teams - Sharing Your Screen in a Teams Meeting

This document details the process for sharing your desktop screen during a Microsoft Teams Meeting. You can share your entire desktop, a specific application window, a PowerPoint presentation, or a virtual whiteboard.

Sharing Your Screen Using Teams Desktop Application

1. Select the Share button in the Meeting Controls panel. The Meeting Controls panel appears in the top-right corner of the meeting window.

2. Within the Share Content tray:

        1. Select "Include computer sound" if you need participants to hear any audio played by an application. This does not include the sound from your microphone. 

        2. Select the screen you wish to share.

3. The screen is now being shared with meeting participants. You will see a red outline around the screen that you are sharing. Participants will see everything you open on this screen, including applications and documents. 

4. While you are sharing your screen, you can move your mouse towards the top of the screen to see the Sharing Toolbar. Select the following elements as needed to customize the meeting:

        1. Give Control: Select the Give Control button, then select the desired particpant's name to allow that participant to control and make edits on whatever you are sharing.

        ***NOTE: Select Take back control to resume control of the sharing.***

        2. System Audio button: Select the System Audio button to toggle whether or not the particpants can hear the audio shared by your device.

        ***NOTE: When the button's icon has a slash through it, as shown below, the particpants cannot hear the audio shared by your system.

        3. Stop presenting button: Select the Stop presenting to stop sharing your screen and return to the Teams meeting window.

        4. Pin Toolbar button: Select the Pin Toolbar button to prevent the Sharing Toolbar from automatically disappearing when you move your mouse away.

5. To stop sharing your screen, select the Stop sharing button in the Meeting Controls panel.

Sharing Your Screen Using Chrome or Edge

1. Select the Share screen button in the Meeting Controls panel.

2. Select "Screen, window, or tab."

3. In the Choose what to share screen:

        1. Select the screen that you would like to share.

        2. Select "Share system audio" to share the audio from the computer you are using. 

        3. Select "Share."


Sharing a Window

This feature is useful for when you only wish to share a single document or application and would like to view, but not share, notes or other information on your screen. To use this feature, you must have the desired window open before clicking the Share button.

1. Select the Share button in the Meeting Controls panel.

2. Select "Window."

3. In the following screen:

        1. Select "Include computer sound" to share the audio from the computer you are using. 

        2. Select the window that you would like to share.

Sharing a Powerpoint Presentation

1. Select the Share button in the Meeting Controls panel.

2. In the Share content menu:

        1. Select "Include computer sound" to share the audio from the computer you are using.

        2. Select the Powerpoint you would like to share from the list of recent Powerpoints, or select "Browse OneDrive" or "Browse my computer."

Sharing a Microsoft Whiteboard

Use the whiteboard to share ideas or sketch out meeting notes. After the meeting ends, the whiteboard will be accessible from the Whiteboard tab of the meeting’s chat in Teams.

1. Select the Share button in the Meeting Controls panel.

2. In the Share content menu:

        1. Select "Include computer sound" to share the audio from the computer you are using.

        2. Select "Microsoft Whiteboard."
