Classroom Technology Guide & FAQs - (Charles Schwab Foundation Center for Financial Wellness) Wood Hall 118

This document details the procedures for how to use and run the technology in the Charles Schwab Foundation Center for Financial Wellness (Wood Hall 118) room on campus as a classroom or for hybrid meeting/presentation purposes.

The technology in Wood Hall 118 includes ceiling mics and speakers, a PTZ Tracking camera, PC computer, and Bluetooth keyboard and mouse. The room also includes two Mesberger Financial Group Conference rooms that each are equipped with a computer monitor set up with Sharelink capabilities. Please reference the steps and setting options below for information regarding using the room technology:

Classroom Technology - Start up

  1. To begin, locate the Extron Tablet mounted to the wall near the room monitors. Press the Power Button to bring up the Extron Tablet Matrix, which in turn, powers on the mounted screen and hardware in the room.
    1. After pressing the Power Button give it a second to load to power on. This process only takes a few seconds to complete.

  2. Log into the room PC computer located on the credenza (sideboard table) using your UWGB email or password.
    1. For external users, use the Guest Login and Password labeled on the PC computer.
    2. Use the keyboard and mouse, located at the room podium, for the main functionality of the room PC. Note: for the best Bluetooth results when using the computer mouse, leave the credenza doors (where the PC is placed) slightly open.

Controlling the Tablet Matrix

  1. To send content from Room PC Output #1 (Room computer) to both monitors/displays press the ‘Monitor/Interact TV’ and ‘Front Right TV’ and ‘Audio’ options.
    1. For example, if you are teaching a course with both in-person and virtual students (including those who watch recorded lectures asynchronously), and there’s no need for interaction between these groups, you can choose to display your presentation or content on both TV monitors for the benefit of the in-person audience. If you want to record the class/meeting, simply select the recording option provided in either Zoom or Teams.

  2. To send content from Room PC Output #1 and Room PC Output #2 for different PC displays, select the following output options:
    1. Room PC Option #1: Send to Monitor/Interactive TV 
    2. Room PC Option #2: Send to Front Right TV 
    3. For example, if you are teaching a class with both in-person and virtual students, and you’d like one TV monitor to display your presentation (PC Output #1), you can place your PowerPoint or browser on one screen. Then, using the mouse cursor, move the virtual display (Zoom or Teams window) to the other TV monitor to view the virtual students (PC Output #2).

Using the Room PC to Start a Zoom or Teams Video Meeting

  1. On the Room PC, start the Zoom or Teams link to begin your virtual meeting, this will activate the camera. Make sure to turn your camera on in Zoom or Teams before or after joining the meeting. 
      1. Select the Video Icon on Teams or Zoom to turn the room camera on and off.

Teams Meeting Audio Settings

After joining the Team’s meeting, make sure the following audio settings are selected: 

  1. The Room audio option is checked. 
  2. In the Device settings panel, the Room Speaker (Intel(R) Display Audio) is selected for the speaker output. 
  3. In the Device settings panel, the Room Microphones (3-DMP Plus USB#1) is selected for the Microphone output.

Zoom Meeting Audio Settings

After joining the Zoom meeting, make sure the following audio settings are selected: 

  1. Locate Zoom audio settings by clicking the upward arrow (^) located to the right of the Zoom Microphone icon.  
  2. The Room Microphones (3-DMP Plus USB#1) is selected as the microphone output.  
  3. The Room Speakers (Intel(R) Display Audio) is selected as the speaker output.

Controlling Volume on Tablet

The volume controls, located to the right side of the tablet matrix, allow you to control the volume of the audio room.   

  1. Select the “Mute” button to mute the computer mics. You won’t be able to hear videos or virtual meeting participants.  
  2. The “Privacy Mute” button can be used to turn off the mics in the room. If you are running a hybrid virtual meeting, virtual folks cannot hear the room.

Note: If you are using WH 118 to run a virtual meeting or class and wish to mute the room without using the Tablet Matrix, you can press the microphone icon in both Zoom and Teams to mute the room.  

Camera Settings - Using the Camera Remote

Wood Hall 118 is equipped with a PTZ camera (pan, tilt, and zoom). Below are instructions on how to use the tracking and preset features of the room's camera. These features can be managed by using the camera remote located on the room podium. 

Turning on and off tracking - Using Camera Remote

  1. To turn on and off tracking use the camera remote.  
    1. Note: Make sure the remote is pointed at the camera, and when you press any buttons, you should see the light on the front of the camera base flash.  
  2. To turn on tracking: Press F1 
  3. To turn off tracking: Press F2

Using Camera Remote Presets 

When the room is powered up, the camera setting is set to “tracking” which means the camera will follow the speaker at the front of the room.  

  1. If tracking is turned off, you can use the following number keys on the camera remote to select the preset camera shot option you want.
    1. #2: Shot of the podium with the right front display in the camera shot 
    2. #3: Shot of the center of the front of the room 
    3. #4: Wide shot of whiteboard area 
    4. #5: Tight shot of whiteboard area

  2. To select a preset, press the number of the preset desired and then press the “CALL” button directly above the number keys.
    1. For example, to move the camera direction to be a shot of the center of the room, press “3” and then the “CALL” button to set the camera angle.  

General camera settings and considerations

  • The tracking set up for the camera goes from the right side of the room to the edge of the first stand-up whiteboard at the front of the room. If you stand in front of the second whiteboard, you will be out of the tracking area.  
  • The camera will go to a wide shot of the middle of the room when it can’t find someone to track on in the tracking area. 

Classroom Technology - Turning the System off

  1. To power off the system:
    1. Select the red button that says "System off" in the lower right-hand corner of the screen.

Best Practices for Teaching in WH 118

  • Use the Room PC: For a more straightforward room experience, it is recommended to use the PC provided in the room. Community members can access this PC using the guest login and password, conveniently labeled on the computer monitor, accessible by opening the credenza doors.  
  • Prepare Your Presentation: If you plan to share a presentation, download your presentation and files to a flash drive. To insert the flash drive, locate the flash drive port on the computer situated behind the credenza doors.
    • You can share presentations stored on a cloud service or in your OneDrive. If you choose to present this way, please keep in mind the potential delay in accessing these files. It is still recommended to have a backup by saving your presentation on a flash drive.  
  • Use the Touch Screen Monitor: The first monitor in the room (Monitor/Interactive TV) is equipped with a touch screen. Make the most of it by using the TV’s touch screen capabilities and a pen for enhanced functionality. The pen is located on the room podium.
    • During virtual meetings or class, consider opening a blank PowerPoint slide or using Zoom or Teams whiteboard feature to annotations and visual elements.

Q: My students that are remote can’t hear me very well; how do I help solve that issue? 

Q: How does ShareLink Work?  

  • Connect your phone or laptop to the monitors in the room and in the two small rooms adjoining using the ShareLink app. To do this, locate the code available on the monitor and follow the steps outlined in this guide on ShareLink: https://uknowit.uwgb.edu/121030. 

Q: How do I control the camera settings?  

  • Wood Hall 118 is equipped with a PTZ camera (pan, tilt, and zoom).
